Position Summary 

 

The Hospitality Coordinator is a full-time, year-round position responsible for cultivating exceptional guest experiences at Annunciation Heights and Camp St. Malo. This is a highly guest-facing role for someone who loves serving others, enjoys hosting, and naturally creates a warm, welcoming environment. 

The Hospitality Coordinator serves as the primary point of contact for guest groups before, during, and after a group’s stay. This includes marketing, inquiry follow-up, booking, contracts, pre-arrival planning, on-site hosting, and post-stay communication. The person in this role should have a genuine heart for hospitality, take joy in caring for others, and be attentive to the needs of guests so that each group feels welcomed, supported, and well served. 

This role also plays an important part in expanding the reach of Annunciation Heights and Camp St. Malo by building relationships and increasing bookings. The ideal candidate is both relational and proactive: someone who can host guests with excellence while also promoting the properties and cultivating new group partnerships. 

 

Education and Experience: 

  • Bachelor’s degree preferred; relevant professional experience will be considered.  

  • Experience in hospitality or other relational ministry required. 

  • Experience in Business, Finance, or Marketing advantageous. 

 

Essential Duties and Responsibilities 

Responsibilities include, but are not limited to: 


Guest Experience and Hospitality 

  • Serve as the primary point of contact for guest groups before, during, and after their stay.  

  • Serve as primary host for Priests, Sisters, and other visiting Religious during summer camp. 

  • Create a welcoming, attentive, and hospitable environment in which guests feel seen, cared for, and supported.  

  • Develop and maintain a high-quality guest experience through clear communication, thoughtful preparation, responsiveness, and attention to detail.  

  • Prepare for the arrival of guest groups by coordinating logistics, communicating expectations, and ensuring readiness for their stay.  

  • Receive groups on arrival, orient them to the property, address needs as they arise, and serve as a visible and supportive host throughout their time on site.  

  • Be present at meals and during key parts of the guest experience, particularly during in-season weekends and other high-use times.  

  • Anticipate guest needs, solve problems graciously, and respond with flexibility, professionalism, and a spirit of service.  

  • Maintain strong relationships with group leaders and guests in a way that encourages trust, repeat bookings, and positive referrals.  

Booking and Group Coordination 

  • Manage guest group inquiries, scheduling, contracts, planning details, and follow-up communication.  

  • Guide groups through the booking process from first inquiry through final confirmation and post-stay follow-up.  

  • Maintain accurate records related to bookings, group communication, contracts, and calendar usage.  

  • Collaborate with internal staff to ensure that each group’s logistical, hospitality, and operational needs are met.  

 

Marketing, Outreach, and Group Development 

  • Market and promote Annunciation Heights and Camp St. Malo to increase guest group use throughout the year.  

  • Build and maintain relationships with parishes, schools, ministries, nonprofits, and other organizations that may use the properties for retreats and events.  

  • Conduct outreach to prospective groups, especially parishes, to encourage greater use of the property for retreats, formation events, and gatherings.  

  • Develop strategies, communication, and promotional efforts to help fill the guest group calendar.  

  • Cultivate new leads, follow up with prospective groups, and support long-term growth in guest group bookings.  

  • Represent Annunciation Heights well in all communication and relationship-building efforts. 

 

General Duties 

  • Be available to assist other team members as needed across various mission streams. 

  • Additional Roles and Responsibilities based on candidate’s giftings and experience. 

 

 

Competencies and Qualifications 

  • A sincere love of serving others and creating a welcoming environment  

  • A strong heart for hospitality, hosting, and guest care  

  • Ability to notice the needs of others and respond with attentiveness, warmth, and professionalism  

  • Strong interpersonal, written, and verbal communication skills  

  • Ability to build relationships and represent Annunciation Heights and Camp St. Malo well to parishes and other groups  

  • Initiative in marketing, outreach, follow-up, and group development  

  • Strong organizational skills, attention to detail, and ability to manage multiple projects at once  

  • Flexibility and willingness to accommodate the varying needs of guest groups  

  • Ability to problem solve in a professional, calm, and service-oriented manner  

  • Knowledge of Microsoft Office and related software  

  • Valid driver’s license  

  • Ability to work independently and collaboratively as part of a team  

 

Physical Requirements: 

  • Able to lift and carry up to 50 lbs. 

  • Available to work outside of a normal work week, including weekends. 

  • Able and willing to work outside in any weather conditions. 

  • Ability to work more than 40 hours during the guest group season 


Responsibilities and Duties Common to all Staff: 

  • To be a practicing Christian who seeks to follow Christ in his/her daily living and in interaction with other staff and guests (campers, parents, volunteer staff, user groups, etc.); to have a positive attitude toward the Catholic Church, her teachings, and her work 

  • To exemplify a general attitude of helpfulness to other staff and volunteers, campers, parents, and user groups 

  • To give assistance in any phase of the ongoing operation of the camp when need warrants and when assigned by the Executive Director 

  • To joyfully give 100% effort to the job, understanding that it is all encompassing and requires more than 40 hours per week during some seasons 

 

Annunciation Heights offers a competitive compensation package that includes a full time, year around salary, medical, dental, vision, Life, retirement plan, along with PTO and paid holidays. 

 

Time:   Full-time, year-round 

Compensation: $33,000-$42,000 based on candidate’s experience and qualifications.  

In addition to pay; employee receives housing, utilities, trash, many meals, and other living expenses.
